Hosting an event is no small feat. It often seems the potential for disaster increases the more you work to avoid it!

Are you planning an event and fretting that something will go wrong? 

Do you want to give your guests the best chance of relaxing and enjoying the event you’ve invested time, effort, and money into? 

Read on to learn the most common event hosting mistakes and how you can avoid them. 

Mistake #1: You Run Out of Money 

Budgeting for an event is an art form, a skill, and an essential part of ensuring the event is successful. If you run out of money halfway through the planning stage, you’re left rearranging the existing plans, skimping on the final touches, or canceling the event entirely. 

Spend time creating an event budget and reap the benefits of careful and thorough planning. 

Mistake #2: No One Shows Up

Unless your event has invited guests only, you need to advertise for people to show up. 

Allocate adequate resources to marketing and get potential guests curious and excited about your event. 

If your budget is tight, use social media and word-of-mouth to generate interest. 

Mistake #3: Your Guests Don’t Fit In the Venue

Planning an event involves choosing the right venue for the number of people expected to show up. Shoving crowds of people into a tiny venue is an obvious no-go, but sending twenty people to roam around a football stadium isn’t too great, either. 

Choosing the best venue means finding one that matches your guest list. If you’re not sure about numbers, err on the side of a slightly too-big venue.

Mistake #4: The Sound System Doesn’t Work 

Check the power source, lighting, Best Sound System Hire, recording equipment, camera equipment, and other technology at least twice before your event starts.  

Ensure you have a Plan B in place in case the triple-checking isn’t enough! 

Mistake #5: No One Knows the Theme

Are half your guests dressed in formalwear while the rest are in jeans? Chances are the theme wasn’t made clear enough…

Mistake #6: The Schedule… Doesn’t Exist 

If none of your teams understand when they need to do their job, your event is going to feel chaotic. 

Set up a clear, logical schedule and make sure your caterers, entertainers, speakers, and camera crew know exactly when it’s each team’s time to shine!

Mistake #7: Your Guests Can’t Find the Bathroom

Inadequate signage leaves your guests lost in the event venue. If your venue doesn’t have them already, put up obvious signs pointing out the bathrooms and exits.

Clearly demarcate the smoking area, dance floor, or food tables to keep your guests happy and informed.
